VVPC Board Positions

President

President

Function
Responsible for leading meetings and overseeing the Valley View Parents’ Club (VVPC) activities during the academic year.

Responsibilities

  • Attend and lead monthly general membership meetings.
  • Attend and lead monthly board meetings.
  • Work with secretary to prepare agenda for board meetings (with input from VVPC board and membership).
  • Prepare VVPC event permits.
  • Serve as check signatory.
  • Communicate and cooperate with the principal regarding VVPC events.
  • Provide input, encouragement and assistance to other board positions and committee chairs as needed.
  • Speak at VVPC and other school events as needed.
  • Meet during the summer as needed to plan for the upcoming school year.

Qualifications

  • Enthusiastic team player with a good attitude.
  • Good communication and leadership skills.
  • Ability to delegate.
  • Comfortable speaking in front of a large group.

Time Commitment

Term is one year.  The president should attend all VVPC General Membership and Board meetings.*

 


Executive Vice President

Function
Responsible for supporting the President in leading meetings and overseeing the Valley View Parents’ Club (VVPC) activities during the academic year.

Responsibilities

  • Attend and help President lead monthly general membership meetings.
  • Attend and help President lead monthly board meetings.
  • Work with Secretary to prepare agenda for board meetings (with input from VVPC board and membership).
  • Work with President to prepare VVPC event permits.
  • Serve as check signatory.
  • Work with President to communicate and cooperate with the principal regarding VVPC events.
  • Provide input, encouragement and assistance to other board positions and committee chairs as needed.
  • Speak at VVPC and other school events as needed.
  • Meet during the summer as needed to plan for the upcoming school year.
  • Become “Acting President” in the event that the VVPC President is unable to complete his or her term.

 Qualifications

Term is one year.  The Executive Vice President should attend all VVPC General Membership and Board meetings.*

 


 Secretary

Function
Responsible for ensuring that accurate and sufficient documentation exists regarding Valley View Parents’ Club meetings to enable authorized persons to determine when, how, and by who decisions were made.

Responsibilities

  • Attend all Parents’ Club Board and General Meetings
  • Serve on Executive Board
  • Ensure the safety and accuracy of all Parents’ Club Board and General Meeting records
  • Develop agenda for Parents’ Club Board and General Meetings and help facilitate meetings in conjunction with Board President
  • Draft and review Parents’ Club Board and General Meeting Minutes
  • Maintain the Parents’ Club membership database
  • Record all Parents’ Club donations and issue thank you/tax letters within one week

Time Commitment
Term is one year. Secretary should attend all Valley View Parents’ Club Board and General Meetings.

 


Community Outreach Coordinator

Function It takes a village to raise a child
Develop a welcoming school environment and increase our community’s sense of inclusion and participation in the school. Forming respectful, trusting relationships with our parents and community members can generate significant positive impacts for our children. Our efforts must focus on enlisting the involvement of community members from all backgrounds, and establishing collaborative relationships.

Responsibilities

  • Attend all Parents’ Club Board and General Meetings.
  • Identify and work to erode barriers that reduce family involvement in their children’s education.
  • Invite involvement through one-on-one relationships focused on what can be achieved for our children.
  • Work with Volunteer Coordinator to develop a volunteer base that is representative of the diversity of our community.
  • Form an outreach committee whose members are representative of the school and community.
  • Survey the school and community members to find out what type of activities would interest all parts of the community, and to find out what might prevent them from becoming more involved: language barriers, transportation, babysitting needs, times of activities, etc.
  • Develop an outreach plan.
  • Help identify and provide translations for school communications.
  • Evaluate school events to determine the level of community inclusion and make recommendations to Board and Event Chairpersons on how to increase community involvement.
  • Work towards having the Parents’ Club and active volunteers reflect the diversity of the school community.
  • Encourage new people to attend the Parent’s Club meetings.
  • Help parents to feel comfortable participating in and making suggestions during meetings.

Time Commitment
Term is one year. Volunteer Coordinator should attend all Valley View Parents’ Club Board and General Meetings.

 


Volunteer Coordinator

Responsibilities

  • Attend all Parents’ Club Board and General Meetings.
  • Develop a volunteer outreach and growth plan to attract new volunteers and retain previous volunteers.
  • Create a volunteer kick-off plan, like 2 Hour Power.
  • Provide volunteer opportunity information and a calendar of events in the “First Day Packets” and in the “New Student Welcome Packets”.
  • Work with Community Outreach Coordinator to create an outreach component for underrepresented group by identifying barriers to involvement, such as language and culture.
  • Promote and publicize volunteer opportunities through the VVPC website, email invitations, flyer distribution, and word of mouth.
  • Work with event coordinators to assess the ongoing needs for volunteers.
  • Provide WCCUSD Volunteer Badge information for new and prospective volunteers.
  • Maintain VVPC Volunteer database.
  • Coordinate the year-end Volunteer Appreciation activity.

Time Commitment
Term is one year. Volunteer Coordinator should attend all Valley View Parents’ Club Board and General Meetings.

 


Fundraising Coordinator

Function
Serve as the Parents’ Club board liaison to the fundraising team. Assist in the communication and implementation of fundraising activities.

Responsibilities

  • Attend all Parents’ Club and Fundraising Committee Meetings
  • Attend Parents’ Club Board Meetings (when necessary)
  • Supervise and support:
    • Fall Festival Chair
    • Education Fund Drive Chair
    • Holiday Shoppe Chair
    • Restaurant Fundraiser Chair
    • Music Fund Drive Chair
    • Bunny Hop Chair
  • Provide reports to constituency groups about the fundraising progress
  • Coordinate fundraising calendar
  • Assist at all fundraising events

Time Commitment
Term is one year. Fundraising Coordinator should attend all Parents’ Club Meetings and Fundraising Committee/Chair Meetings, and VVPC Board meetings when necessary.

*Exceptions to be made in the case of emergencies or unanticipated conflicts where alternative arrangements are secured in advance.
